EHC Community Centre Bookings Terms and Conditions

General Information

All enquiries for booking the Edinburgh Hebrew Congregation (EHC) Community Centre must be made by contacting ehcongbooking@gmail.com

 

All bookings are provisional until a signed contract has been received. All bookings are subject to approval by EHC Community Centre Committee and the Chair of the Board of Management and are subject to the terms and conditions included in this information sheet.

 

Note: Bookings made through ehcongbooking@gmail.com only cover the hire of the hall and kitchen. Additional use of other areas of the building must be discussed with the EHC Board of Management.

 

Due to current security concerns, all bookings are reviewed by the EHC security team and security arrangements are made through the EHC. This will be discussed with the hirer before the event.

 

The number of people permitted in the community centre is 180, to ensure there is sufficient access to fire exits. This number includes any staff and volunteers. The layout of the hall will be discussed with the hirer once the booking is confirmed.

 

Standard Terms of booking

 

Charges  and payment terms are agreed at the time of booking and detailed on the contract . They are payable by cheque or BACS.

 

Advertising:  All adverts for bookings must be made available to the EHC in advance of your bookings. We reserve the right to cancel any booking where the advertising is in contradiction to EHC’s charitable aims.  Details of the event may also be requested by the EHC security team for review and advice.

 

Entry to the building – the Community Centre Committee will endeavour to ensure that a member will be available to open up and close down the building. In the event that no person is available a small charge for caretaker duties will be made.

 

Condition of Premises Hirers accept the premises as being in good condition and repair and as suitable for the purpose for which they intend to use them. Hirers agree to leave the premises in a clean and tidy condition at the end of a period of use. The Hirers also agree to pay the cost of making good any damage caused to the Premises through their use of them.

 

Liabilities and Insurance The EHC has Public Liability Cover which includes individuals or groups who hire the premises for non-commercial activities that are regarded as being for the benefit of the local community.  Commercial and business hire is not covered or where groups have cover provided by another insurance policy.

 

All hirers shall be responsible for ensuring that their activity is appropriately covered by adequate insurance for themselves, those associated with them and any equipment and property which they bring into the premises in connection with their use. EHC cannot accept responsibility for loss or damage to property as a result of the letting of the premises inside or out.

 

Security – Security of the premises whilst in use for the duration of the hall hire is the responsibility of the Hirer for the duration of the hall hire and you must ensure that only the expected members are admitted, and that the entrance door is shut as soon as possible after their arrival. Under no circumstances are you or your clients/members of your group permitted to leave the front door open, ajar, unlocked or ‘on the latch’. This is in the interest of everyone’s safety and security. You are under no obligation to answer the door and for security reasons you should not admit anyone unknown to you. In the event of any security concern or incident please contact the named person for your booking immediately.

 

Noise – Please ensure that any music and loud noise cannot be heard from outside the building after 9pm. Please be respectful of our neighbours when entering and leaving the building at all times and do not congregate in the forecourt or allow doors to slam. 

 

Kitchens – The use of the kitchen is not permitted unless arranged as part of the hire. To ensure compliance with Jewish dietary laws, no food or drink other than water can be brought into the hall under any circumstances. Provision of light refreshments can be provided at cost as part of the booking arrangements.

 

The EHC is an ECO Synagogue.  Kitchen users must adhere to the EHC ECO policy of reduce, reuse, recycle and must use the appropriate recycling facilities in the kitchen.  Additional waste must be disposed of in the correct bins outside or taken away if the bins are full. We ask all users to minimise their use of disposable catering products, particularly cling film and single use cutlery. Where disposables are unavoidable, please use biodegradable or recyclable products wherever possible. 

 

For hires of more than 50 people we will ask for a refundable deposit of £200 to cover the cost of waste removal. If the hirer removes all waste from the premises this will be refunded. 

 

Equipment Any furniture moved during booked events must be returned to its original position. Any materials that you may be planning to use must not present any fire or safety risk, nor cause any damage to the décor by the method of fixing. In this regard, no form of adhesive (e.g. sellotape or blu-tack) may be used except on the wooden partition and doors. If additional tables, chairs or table linen is required this must be arranged by the hirer.

 

Live and recorded musicThe EHC does not hold a PRS licence to cover the playing of live and recorded music. Users are responsible for obtaining all licences (e.g. PRS, PPL) themselves to cover their own use of recorded music subject to copyright restrictions.

 

First Aid – First Aid kits are available in the vestibule and the kitchen. Please notify ehcongbooking@gmail.com as soon as possible of any incident requiring the use of the kit. There is a defibrillator in the main hall.

 

Fire Exits and Emergency Exits – all emergency exits are clearly marked and it is your responsibility to ensure your group knows the procedures for safe exit from the building. In case of fire, you must phone the fire services and the named contact for your booking soon as is practicable.

 

Emergency contacts – in case of emergency during your hire please phone the named contact for your booking.

 

Garden – If the use of the garden has been agreed as part of the hire agreement, users must respect the planted areas, and refrain from sitting or climbing on walls. Children must not be allowed to play in the garden unsupervised.

 

Cancellation & Rescheduling PolicyPlease notify us of your intention to cancel or amend/change a booking in writing to ehcongbooking@gmail.com. Should the hirer cancel within two weeks of the event, the EHC community centre committee reserves the right to charge the full hire cost.
